Definition
Compilations are exact copies of selected abstracts as they appear in the Abstracts Book and/or accurate reflections of selected poster displays. Product logos, promotional material, and trade names are not permitted.
Compilations may be produced as booklets or as a CD-ROM. CD-ROMs must follow the same guidelines as the booklets and are not permitted to include additional information.
Criteria
Only abstracts accepted for presentation at the Meeting may be included. Abstracts must be reproduced exactly as submitted for publication in the official Abstracts Book.
All compilations are to consist of three (and only three) parts: a cover, a table of contents, and the abstracts or posters. Compilation front and back covers must be presented in the standard black and white format provided by ASM/IDSA. The cover artwork will be sent to the organizer for approved compilations. The organizer will insert the company information and return the cover in a PDF format for final approval. Changes to the cover artwork are not permitted. Companies distributing unapproved compilations on site or using unapproved covers will receive violation notices, and the compilations will be removed.
The table of contents is to include the abstract titles and presentation numbers as printed in the Abstracts Book. Please note that abstract confirmation numbers are not the same as the assigned presentation number. Presentation numbers must be obtained from the abstract submitter.
Display or distribution of approved compilations may not begin before the official opening of exhibits on Sunday, October 26, at 10:00 a.m. Abstract and poster compilations distributed from any place other than the assigned kiosk or the exhibit booth will be immediately removed and stored until the conclusion of the meeting.
Compilations may be displayed in the assigned kiosk prior to the assigned poster presentation. However, a media embargo is in place on the meeting presentations until the actual day and time of the presentation.
Application Review and Notification
Within one week of receipt, complete applications will be acknowledged by e-mail.
Requirements of necessary revisions and cover artwork will be e-mailed September 10 with approved compilation.
Finalized cover artwork must be returned by September 15.
Confirmation letters will be e-mailed September 17.
Display Area
A kiosk will be available in the exhibit hall near the main poster information desk for the display of approved compilations. The kiosk and the exhibit booth are the only areas where compilations may be distributed.
Exhibiting companies will be assigned a kiosk by the sponsoring company name. The storing and stocking of compilations is the responsibility of the exhibiting company.
