(application may be found in the Activity Planner)
Completed applications are due: September 5
Definition
Exhibitors with a booth 2,500 square feet or larger may request permission to conduct an educational presentation in their booth during specified hours. These presentations are short lecture presentations on scientific topics that do not include product demonstrations of equipment or company technology. These presentations are not eligible for continuing education credits.
Educational Presentation in Booth Schedule
Sunday, October 26 11:30 a.m. – 2:00 p.m.
Monday, October 27 11:30 a.m. – 2:00 p.m.
Tuesday, October 28 11:30 a.m. – 2:00 p.m.
Criteria
Content must complement (and not duplicate) the official scientific program, including workshops, symposia, meet-the-experts, and slide and poster sessions.
A media embargo is in effect on all meeting presentations until the actual day and time of presentation. This embargo applies to scientific information presented in the official program. Program information may not be referred to in an industry-sponsored activity until after the actual presentation has occurred. All sponsors, agents, and presenters must abide by the embargo policy.
The content of booth presentations must be non-commercial and offer objectivity in the presentation. It is the responsibility of the organizers to ensure that proper disclosure is provided to the audience regarding any industry-related financial ties of the faculty and any off-label uses of products discussed.
Booth presentations are not eligible for continuing education credits.
Please Note: If a third party organizer requires exhibitor badges, the badges must come from the exhibiting company’s badge allotment. Payment for badges over the allotted number is the responsibility of the exhibiting company.
Application Review and Notification
An acknowledgement of receipt of the application will be sent via e-mail within 48 hours of submission.
Confirmation letters will be e-mailed within two weeks of receipt of application.
Booth Diagram
To ensure booth diagram approval, the following criteria must be met:
- Booth size is 2,500 square feet or larger and specifications are noted in feet and inches;
- Presenters must be centrally located in the booth;
- Speakers and other sound devices must be positioned so sound is directed into the booth rather than into an aisle; and
- If a presenter requires sound amplification, the area of presentation must be enclosed on three sides.
Please note: To ensure the safety of attendees and maintain free and clear aisles, Exhibits Management reserves the right to limit seating for presentations in a booth.
Marketing Opportunities
Mailing list rental, registration bag inserts, door drops, and advertisements in the Exhibit Guide are the approved marketing opportunities for educational presentations in a booth. Refer to the Activity Planner in the right side bar for more detailed marketing information.
