IMPORTANT DATES – 2008

July 31
  • Discounted Preregistration deadline
  • Deadline to reduce or cancel room blocks for a refund minus the cancellation fee
  • Prepayment of room and tax, minus the deposit, due to Experient
  • After this date, new requests for housing cannot be guaranteed
August 29
  • Rooming list due
September 15
  • Group Preregistration deadline
  • $10 USD/room night subsidy due to Experient for groups that obtained housing directly with an official ICAAC/IDSA hotel or outside the ICAAC/IDSA housing block
    To be eligible for a refund of registration fees (minus a $50 USD processing fee), cancellations must arrive at Experient in writing through e-mail, fax, or mail.
  • Registration cancellations made after September 15 will not be processed
  • Last day to request advance shipment of Final Program Books and Abstracts Books
  • Last day to request function space and/or a hotel reception desk
  • Last day to make hotel changes through Experient
  • Registration name changes and complete attendee demographic information due to Experient
  • Last day to make changes to rooming list

Badge Policies
Badges must be picked up during the appointment with Experient. For security reasons, all attendees are required to wear their badge for entry into session rooms. Please note, badges are the property of ASM/IDSA and will be relinquished at any time at the discretion of an ASM/IDSA staff person or security.

Attendee Badges
* access into all scientific sessions
* access to the Exhibit Hall and Poster Sessions
* use of the courtesy shuttle
* continuing education credit
Please Note: A fee of $100 will be charged for replacement badges.

Guest Badges
* access to the Exhibit Hall and Poster Sessions
* use of the courtesy shuttle
Please Note: Attendees wearing guest badges will not be permitted into scientific session rooms.

Exhibitor Badges
* entrance into the exhibit hall during installation and dismantling hours
* entrance into the hall one hour before the Hall opens and one hour after it closes
* use of the courtesy shuttle
Please note: Attendees wearing exhibitor badges will not be permitted into scientific session rooms.

Press Badges
* access into all scientific sessions
* access to the Exhibit Hall and Poster Sessions
* use of the courtesy shuttle
Please Note: Press registrations are not eligible to earn continuing education credit. Members of the press must register for the meeting and pay the appropriate registration fee to receive continuing education credit.

Certificate of Attendance
Group Coordinators who provide complete contact and demographic information for their group may pickup Certificates of Attendance during their appointment with Experient.  Otherwise, each attendee must visit registration and complete an information form to receive the Certificates of Attendance.

Function Space
Affiliated groups (i.e., tour operators, travel agents, etc.) or exhibitors desiring space for meetings, meals, social events, etc. must submit an Affiliated Event Form in order to obtain approval and assignment of function space. This form lists all procedures and guidelines for holding affiliated events.  Space is assigned on a first-come, first-served basis. The deadline for all requests is September 19.

Groups who reserve their housing through ASM/IDSA will receive a discount on meeting room rental at most official ICAAC/IDSA hotels.

Italian Agents
The American Society for Microbiology & The Infectious Diseases Society of America has appointed IPCAAITALIA ASSOCIATION to coordinate and assist pharmaceutical companies in organizing the participation of Italian scientists, physicians, and other health care professionals. IPCAA-ITALIA ASSOCIATION is the sole delegate by proxy to collect, on ASM/IDSA behalf, all applications and file them with the Italian Health Ministry in compliance with the instructions given by Legislative Order No. 541 of December 30, 1992.

Meeting Materials
All registrants will receive the Final Program Book, Abstracts Book, and Exhibit Guide as part of the registration fee. Additional copies of the Final Program Book may be purchased for $20 USD/copy plus shipping cost and the Abstracts Book for $60 USD/copy plus shipping cost.

On-Site Pick-Up
As an added service to groups, registration for Group Coordinators to pickup all registration materials (name badges, Final Program Books, Abstracts Books, Exhibit Guides, etc.) will begin Thursday, October 23. On-site group pickup provides the opportunity for Group Coordinators to register additional attendees, make name changes, make badge corrections, and the opportunity to avoid long lines during registration hours.  This service is by advance appointment only. Experient will contact you to schedule an appointment. Failure to appear at your appointed time will mean waiting in line during regular on-site registration hours.

Advance Delivery
The Final Program Book and Abstracts Book may be received in advance if arrangements are made with Experient by September 15. To request advance receipt of the books, please complete the Advance Delivery Request Form. Please note that if the form is not received at Experient by September 15, you must pick up your materials on site.

There are two methods available for advance delivery:

      1. The Final Program Book and Abstracts Book may be sent to the Group Coordinator. The Advance Delivery Request Form must be completed and returned to Experient with payment information for shipping.
      2. The Final Program Book and Abstracts Book may be sent directly to the attendee for additional fee.

    U.S. and Canadian preregistrants will receive their books for a fee of $85 USD per U.S. preregistrant. The books will be shipped by Federal Express.
    International preregistrants will receive their books for a fee of $110 USD per International preregistrant

Meeting Venue
Scientific sessions, poster sessions, exhibits, and registration will take place at the Washington Convention Center, Renaissance Washington DC and the Grand Hyatt Washington. The address for the Washington Convention Center is 801 Mount Vernon Place, N.W.  You may see the convention center by visiting www.dcconvention.com.  The address for the Renaissance Washington DC is 999 9th Street N.W. you may see the Renaissance Washington DC  The address for the Grand Hyatt is 1000 H Street N.W.

Security Measures
The United States security measures at airports and seaports designed to protect the safety of U.S. citizens and international visitors. The U. S.
